Your responsibilities:
Reporting to Head of Operations and Branch Manager.
You will support Operations team in the performance of commercial related matters not limited to the
• followings:
• You will manage all aspects of the commercial process from initial contact to sales ‘close’ for selected projects determined either by revenue size, client type, project type, tasks include
• You enter orders after material list was handed by engineering
• You ensure materials planning including shortage and procurement in monthly basis
• You ensure sales are recorded and monitored in line with agreed processes
• You ensure products purchased are delivered in a timely way and recorded in Discos
• You ensure proper documentations on return deliveries and recorded in Discos in a timely way
• You ensure invoice are recorded and billed according to contract in a timely way
• To handle client enquires (such as delivery, return and invoicing) in a timely way
• To prepare project margin calculation via Dokacalc. / Excel according to contract.
• To assist Sales in transferring material list to Discos II via Dokacalc with correct condition setting.
• To ensure all contract documents proper storage in S-drive.
• To liaise with finance team for project CCM setup.
• You manage ongoing relationships with internal and external stakeholders
Demand Planning and Logistics:
• You support sales & operations planning process and resolve bottlenecks
• You support and maintain, and optimize inventory as per Doka requirements and standards
• You monitor and update data on sales probability for all pre-sales quote
• You ensure that the data quality meets Doka standards while educating the team to comply with the data quality standards.
• You follow up and/or maintain accurate data of client orders, expected returns
• You analyze and forecast demand (monthly and quarterly) to support supply planning of EM & WM
• You coordinate of product/ material demand planning including shortage & procurement
• You keep abreast with the S&OP planning process and engage in proactive improvement (e.g. facilitate regular meetings) with Engineering, Sales Team and Warehouse
• You meet delivery schedule for ordered material being shipped to a client's job site
• Follow up / monitor the vessel booking arrangement, prepare sea freight custom documents and ensure align with target delivery date
• Monitor delivery transaction from Kuching yard to site / transfer within different project site
• You manage ongoing relationships with freight forwarder and local transporter for shipping and delivery arrangement
• You verify the supplier billing documents and submit along with client signed delivery note
• In the case of renting from supplier to customer, to issue Re-rent Purchase order
Resources:
• You coordinate and optimize of employee and material expenses (manpower planning, vacation, overtime)
• You support of cost center and investment planning
• You conduct qualitative and quantitative staff planning
• You are responsible to comply with local laws and regulations (work safety, environment, load securing)
• You coordinate of know how transfer and securing overall know-how for the company
Personal Requirements:
• At least a Diploma in Finance or supply chain or quantity surveying
• Minimum 3 – 5 years’ hands-on experience on commercial/ invoicing/warehouse
• Proficiency in Excel and IT system
• Able to work independently and as a team player in a results-driven, fast-paced environment
• Hands-on mentality and engaged personality, confident attitude
• Ability to work in a MNC environment and working with external stakeholders
• Resilient, attention to details, strong problem solving & analytical skills and strong drive to succeed
• Good proficiency in English. Mandarin will be an advantage
• Able to commence within 1 month
Working Hours:
• From 8.00 am to 6.00 pm
• Work Days: Monday to Friday only / Weekend included (Might need working on Saturday)
