  • Description

  • -To carry out general administration task such as Time Attendance System and office, card access, CCTV maintenance and routine review
    -To attend to customer, external auditor and internal auditor due diligent, audit on physical environmental security policy
    -Responsible for the general clerical duties such as filling documentation, preparation of correspondence letter
    -To monitor despatch daily activities/schedule
    -Prepare memo, handle on HR & Admin matters and ad-hoc activities
    -Day to day Admin operation & ad-hoc tasks given by Superior
    -To arrange for the supplier/vendor for repair and fixing of any damage
    -Plan and organize cultural activities including employee’s engagement programs and promoting harmonization of employee relations. 
    -Responsible for administration of Physical Environmental Security policies & procedures. 
    -Adhere strictly to any responsibilities and duties as required by ISMS
    -Prepare PO for administration purchase and maintain the purchasing records
    -Always maintaining all records and documents for physical environmental security for audit and customer inspection up to date.
    -Ad hoc assignment from the superior including those HR related matter, when necessary. 
    -Be ready to lead and provide support on company event i.e. meeting, annual dinner, sports event etc. 
    -Assist in Handle Document Control on ISMS and Quality Management System Documentation when needed.
    -To ensure that all the physical security system is reviewed and maintained within the specific period
    -To ensure that all physical security system is working at all times and any faulty system report shall contact the supplier to solve the problem immediately
    -Maintain Household Inventories and Office Maintenance schedules by liaising and supervising cleaner and genaral Worker
    -Manage company assets records and maintenance (eg. vehicles, furnitures, fittings, equipments, etc)
    -To ensure that maintenance agreement signed between the contractor and company shall be valid such as Guard service, Air-Cond maintenance services, etc
    -To ensure that all licenses shall be up to date such as MPSA printing license, fire extinguisher license , etc
    -To assist in handling office expenses and petty cash of office under the approval of the operation or finance manager
    -To Manage office equipment and infrastructure to ensure a well-running office
    -Prepare correspondence, memos, reports, presentations, and emails to HQ and/or other related offices or agencies in relation to the office operations
    -Update the filling system and manage filing the office documents for both hard and electronic copies
    -To carry out job instructed by the superior as and when needed.
